Planning a Shoptalk Spring booth? A Las Vegas builder's guide to the 2027 show at Mandalay Bay, display rules, Permission to Exhibit, and T3 move-in.

Plan your Shoptalk Spring exhibit

Shoptalk Spring is where retailers and consumer brands shop for technology. The sponsor program is built around tech providers meeting retail and brand buyers, and much of the show's business runs through scheduled 15-minute meetings, so a booth has to demo well and give the follow-up conversation somewhere to sit.

The 2027 edition returns to Mandalay Bay March 22 to 24, a Monday-to-Wednesday run. Shoptalk's sponsor portal is partway through its 2027 update, so this guide uses the 2027 schedule where it's posted and marks the 2026 deadlines as a reference.

What to plan for

  • Demo stations on a wired internet line, not attendee Wi-Fi
  • Inline backwalls of exactly 8 feet, islands capped at 16
  • Renderings and safety documents approved before anything is built
  • Safety gear for everyone on the floor during move-in and move-out

Who exhibits and buys at Shoptalk Spring

Shoptalk counts more than 10,000 attendees at the spring show and says one in three works in the C-suite, drawn from retail, consumer brands, and technology. The organizer pitches sponsorship to technology providers looking for their next retail and brand partners, and its hosted program brings qualified retailers and consumer brands in with complimentary tickets and a $750 travel reimbursement.

Meetings drive the floor. Meetup, the show's double opt-in program, books 15-minute one-to-one meetings at tables in a Meetup area inside the exhibit hall, and Shoptalk says the 2026 show saw more than 50,000 of them. Sponsors can also buy hosted meetings with retail and brand tech buyers. The booth's job is what happens next: a place to bring someone after a good 15 minutes and show them the product properly.

Shoptalk Spring 2027 dates, halls, and ways to exhibit

Shoptalk Spring 2027 runs Monday through Wednesday, March 22 to 24, at Mandalay Bay. The exhibit hall is in Bayside, on Level 1 of the South Convention Center, and private sponsor meeting rooms are on Level 2. There are no one-day or exhibit-hall-only tickets, so everyone on the floor holds a full pass. Groceryshop, from the same organizer, is a separate show, also in Las Vegas, September 13 to 15, 2027.

Not every sponsor builds. Turnkey 10-by-10 booths come with an 8-foot-high, 10-foot-wide branded fabric backwall, a café table and two chairs, carpet, and a branded cabinet, all set up by show management. NOOKs, small branded stations the show installs, get one power outlet and allow no extra signage, furniture, or food in or around them, and the Spark program puts 48 early-stage startups in turnkey 6-by-7-foot kiosks. Private meeting rooms can take custom build-outs if everything is freestanding, nothing attaches to the walls, and Mandalay Bay approves the build. Space-only booths include no structure, furnishings, flooring, labor, electrical, or material handling, which is where a custom build comes in.

Shoptalk rules for inline booths under 400 square feet

Shoptalk applies the IAEE line-of-sight rule to space-only inline booths and holds 100- to 200-square-foot booths to these display rules, posted for 2027:

  • A backwall exactly 8 feet high, with no exceptions
  • Sidewalls: none, 4 feet high along any 10-foot length, or 8 feet in the back 5 feet stepping down to 4 feet in the front 5 feet
  • Finished, solid backwalls: no pipe and drape, nothing see-through or too short, and collapsible accordion-frame displays covered in fabric
  • No graphics facing into a neighbor's booth, and no storage of any kind behind the backwall
  • No hanging signs or rigging over 10-by-10 or 10-by-20 booths
  • Inline booths face the hall's vertical aisles, and anything unfinished after 4 p.m. on Sunday, March 21, 2027 is finished by show management at the exhibitor's expense

Shoptalk island rules: 16-foot structures and 18-foot signs

Booths of 400 square feet and larger can't build anything taller than 16 feet, and they can't use pipe and drape for walls. A booth of 20 by 20 or more can hang a sign or rigging, with the top no higher than 18 feet and at least 5 feet from any shared wall. Exhibitors and their contractors can't hang their own: the general contractor rigs non-electrical signs under 200 pounds, and Encore handles anything heavier or electrified. Shoptalk's general FAQ words the island limit as 16 feet including hanging signs, so get the 18-foot figure confirmed in writing before a sign goes to print.

Double-deck booths are allowed only in islands of 400 square feet or more. An upper deck over 300 square feet needs two remote exits, which the fire inspector checks on site, and every multi-level booth files an architectural drawing with an engineer's approval stamp for Permission to Build, due February 6 in 2026. Truss lighting has to stay over your own booth, exposed wiring gets taped or tucked away, and the design should include storage for giveaways and supplies, since there's nowhere else to keep them.

Permission to Exhibit at Shoptalk: renderings, risk, and insurance

Nothing gets built without Permission to Exhibit, a certificate issued by Shoptalk's health and safety partner, Abraxys, once the rendering, insurance, and PPE submissions have all been received and approved. Plans emailed straight to Abraxys aren't accepted. When an outside builder is involved, the builder files the rendering through the portal with a risk assessment and a method statement, and the exhibitor files the certificate of insurance. In 2026, every space-only booth was due February 6, about six weeks before move-in.

Drawings carry every dimension of the build, the flooring materials and the height of any raised platform, and the wall construction, plus the size, weight, and materials of any rigged banner. Insurance for 2027 calls for workers' compensation and general liability of $1 million per occurrence and $3 million in aggregate, with Shoptalk Commerce and Mandalay Bay named as additional insureds for the March 22 to 24 lease dates, and the certificate goes in at least 30 days ahead. Robots and vehicles need separate approval: a robot may require an extra certificate naming Mandalay Bay, and a vehicle needs a display permit from Clark County's building and fire prevention department.

Designing a retail tech booth for Shoptalk buyers

Most Shoptalk sponsors sell something a retailer runs behind the scenes, so the booth has to make software visible. Demo stations with large screens, a short storefront or shelf vignette that shows the product working in a store, and a few stools for a follow-up conversation do more than a big logo. Order a wired internet line for the demos: Shoptalk says attendee Wi-Fi is meant for browsing and email and may be too weak for a product demonstration, and Mandalay Bay Exhibitor Services is the exclusive provider of internet and booth electrical.

The show rules set the edges. Sound, from a microphone to a video wall, stays under 78 decibels and inside the booth. Filming is allowed only within your own space, with no tripods or lights in the aisles. Nothing gets handed out beyond the booth line, balloons aren't allowed, and all food and drink, down to bottled water and candy, comes from Mandalay Bay unless it approves a buyout. Selling product needs the show's approval, and handing goods over at the booth means dealing with the Nevada Department of Taxation. Everyone on booth staff, during move-in, show days, and move-out, has to be at least 18.

Shoptalk move-in, T3 freight, and safety gear

Shoptalk's 2027 shipping page routes booth freight through T3, while some older pages still name Freeman. Freight sent to T3's advance warehouse at 6675 West Sunset Road is delivered to the booth before you arrive, and hanging signs must go there on their own hanging-sign labels. The warehouse receives weekdays from 7 a.m. to 2:30 p.m., wants certified weight tickets, and refuses uncrated or pad-wrapped freight, COD and hazardous shipments, and single pieces over 5,000 pounds or larger than 108 by 93 inches. In 2026 it opened February 23 and added a late surcharge after March 18. Trucks delivering to the building check in first at the marshaling yard at 6555 West Serene Avenue, first come, first served.

Move-in opens Saturday, March 20, 2027 with the larger booths and private meeting rooms in Bayside A through C, all booths build on Sunday, and NOOKs and Spark kiosks set up from noon Sunday. Every exhibit must be complete by 6 p.m. that Sunday. Exhibitor-appointed contractors get into the hall only during move-in and move-out, with a badge or EAC wristband, and no one gets in without PPE: closed-toe shoes and a high-visibility vest or sash for everyone, plus a hard hat with a chin strap for anyone working 6 feet or more off the floor or beneath someone who is. Move-out runs from 4 p.m. Wednesday to noon Thursday, March 25, and flooring you brought leaves with you, or the show charges $1,275.

A Shoptalk Spring 2027 planning timeline

As a rough guide, with the 2026 deadlines moved to a show that opens March 22, 2027. The Las Vegas trade show calendar shows what else is in town that month, our Mandalay Bay exhibitor checklist covers venue services, and the trade show checklist handles the rest:

  • Fall 2026: pick a format, from a NOOK or turnkey booth to raw space, and decide whether to buy hosted meetings
  • November to January: concept and 3D design inside the backwall, island, and sign heights, with the demo and meeting areas drawn in
  • Early February 2027: renderings, risk assessment, and method statement through Abraxys (February 6 in 2026)
  • February to mid-March: discounted service orders, insurance certificates (March 2 in 2026), and freight to the advance warehouse
  • March 20 and 21: move-in, with every booth finished by 6 p.m. Sunday

Shoptalk Spring questions

Can a Las Vegas company design and build our Shoptalk Spring booth?

Yes. Innovate 3D is a Las Vegas creative agency that designs and builds custom trade show booths in its own shop, with The Job Shop's fabrication and Vegas Visual's large-format print in the same building. For Shoptalk Spring, that means demo-ready inline booths and islands, private meeting room build-outs, and the drawings and safety documents an outside builder files for Permission to Exhibit.

When is Shoptalk Spring 2027?

Shoptalk Spring 2027 runs Mar 22–24, 2027 at Mandalay Bay, according to the show organizer. Always confirm current dates on the official show website.

When should we start building our Shoptalk Spring exhibit?

Start a custom exhibit at least three months before the show, by December 2026, so design, approvals, fabrication, and graphics aren't rushed. On a shorter timeline, one team for design, build, and print is what makes it workable.

How tall can a Shoptalk Spring booth be?

Inline booths of 100 to 200 square feet have a backwall of exactly 8 feet, with sidewalls no higher than 4 feet except in the back half. Booths of 400 square feet and larger top out at 16 feet, and hanging signs over booths of 20 by 20 or more can reach 18 feet to the top.

What is Permission to Exhibit at Shoptalk Spring?

It's the certificate every space-only exhibitor needs before building. Abraxys, Shoptalk's health and safety partner, issues it after approving the booth rendering, the insurance certificate, and the PPE submission, and outside builders also file a risk assessment and a method statement. In 2026 the deadline was February 6.

Who handles freight at Shoptalk Spring 2027?

Shoptalk's 2027 shipping and move-in pages name T3 for the advance warehouse, material handling, and flooring, while some older pages still say Freeman. Material handling is exclusive and charged once for inbound and outbound freight, so confirm the contractor before booking a carrier or printing labels.

Can we serve snacks or drinks in our Shoptalk booth?

Only through Mandalay Bay. Shoptalk's FAQ says Mandalay Bay is the exclusive food and beverage provider in the exhibit halls, including prepackaged snacks, bottled water, and candy, and catering is ordered through Mandalay Bay Exhibitor Services. Bringing your own without approval can draw a charge.

Do Shoptalk Spring booths need flooring?

Only the aisles are carpeted, and space-only booths get no flooring. The show doesn't require it but strongly encourages it, so rent it from the general contractor or bring your own. Flooring you supply must be removed by the end of move-out, or the show charges $1,275.
