One level, two pillarless ballrooms
Caesars Forum puts its event space on a single level. Its two largest rooms, the Forum and Summit ballrooms, are pillarless, and Caesars' fact sheet describes each as long enough to fit a football field, with more than 2.1 miles of airwalls across the building for dividing space. Six 1,250-square-foot boardrooms handle private meetings, and the building can hold up to 10,000 participants at once.
For exhibits, a pillarless ballroom means no columns to design around, which suits large islands, stages, and immersive builds. It also means ballroom finishes: AAPEX's 2026 quick facts note that booths and exhibitor areas sit on the existing hotel carpet, so booth flooring and how heavy pieces roll in become part of the plan.
Forum Plaza and outdoor activations
Forum Plaza is a 100,000-square-foot outdoor event space with direct access to the building, which Caesars describes as the only dedicated outdoor meeting space of its size in Las Vegas. The pre-function areas have tall windows and large glass doors that open onto the plaza.
An outdoor build is a different job from a ballroom booth. Plan for sun and wind, ballast instead of anchors unless the venue approves otherwise, power runs, and shade for staff and guests. Temporary structures in Clark County can require fire department permits, so bring the venue and the event's production team in early. Our brand activations and event design and fabrication services cover structures, graphics, and power for outdoor spaces like this.
How AAPEX uses Caesars Forum
AAPEX, the automotive aftermarket show, runs its 2026 edition November 3–5 across Venetian Expo and Caesars Forum, which the show calls the AAPEX Forum. Its regulations list the Summit Ballroom with move-in from October 30 and the Academy, Alliance, and Forum ballrooms from October 31, with all Forum freight out by 2 p.m. on November 7.
Freeman's quick facts for the AAPEX Forum show what a standard booth looks like here: 10-by-10 spaces with an 8-foot back drape and 3-foot side drape on the existing hotel carpet, and move-in hours of 8 a.m. to 5 p.m. on the main days. A show split across two buildings means two sets of logistics, so confirm which venue your booth number is in before freight labels go out. We plan trade show exhibits for a split show building by building, with separate freight labels, labor orders, and install schedules, and the Las Vegas trade show calendar tracks the dates.
Freight and marshaling for Caesars Forum
At AAPEX 2026, Forum freight runs through Freeman. Its advance warehouse at 6675 W Sunset Rd began accepting material September 23, and the AAPEX Forum exhibitor page provides separate Freeman labels for advance warehouse shipping, direct-to-show shipping, and hanging signs, which go to the advance warehouse only. The show-site address for direct freight is 3911 Koval Lane.
Carriers check in at the Freeman marshaling yard linked from that page, at 6555 W Serene Ave, before being dispatched to the dock in check-in order. The yard doesn't accept deliveries, requires certified weight tickets, and can't store empty trailers during the event. Build the delivery plan around those windows rather than the show's opening day.
Labor, rigging, and catering at Caesars Forum
For AAPEX, union labor applies in the ballrooms just as it does at Venetian Expo. Under Freeman's agreement with Teamsters Local 631, exhibit erection and dismantling belong to union crews unless the exhibitor's own full-time staff does the work, and so do truck loading, unloading, and material handling. An exhibitor-appointed contractor needs show approval, a signed contract with the exhibitor, and certificates for general liability, Nevada workers' compensation, and auto liability.
The AAPEX Forum page links Encore's exhibitor kit and rigging portal for AV and rigging, so plan hanging signs, truss, and screens around Encore's deadlines. For AAPEX, booth catering goes through Caesars Forum: its 2026 exhibit-booth order form requires full prepayment and states that no outside food and beverage is permitted. Add those deadlines to your trade show checklist.
From the southwest valley to Koval Lane
Caesars Forum sits mid-Strip on Koval Lane, a cross-town drive from our shop at 4545 W Reno Ave. In a ballroom venue like this, the build can be less a booth than an environment: a lounge, a stage set, a branded entry, or a plaza activation that has to load in quickly between other programs.
We design and build those in-house, with scenic fabrication, CNC parts from The Job Shop, and graphics from Vegas Visual under one roof, and production can run around the clock when a schedule needs it. See our Caesars Forum exhibitor checklist for the step-by-step version, or start a project with your event dates and space.
